LeicsGO Student Crowdfunding Platform

Information you need to know:

The LeicsGO crowdfunding platform is managed by the Philanthropy, Alumni and Community Engagement team, part of the University of Leicester. Further information on the institution can be found here: https://le.ac.uk/. The University of Leicester is the Data Controller for your information

This privacy notice explains how we use your personal information and your rights regarding that information, whether you are a student undertaking a crowdfunding project or a sponsor donating to a project.

What information are we collecting?

Sponsors:
We will collect only the minimum data required to process your donation and any rewards. This includes your full name, email address, home address and credit card details. We will also ask you to indicate if you are an alumnus of the University of Leicester.

Creators:
We will collect only the minimum data required to administer the crowdfunding platform and fulfil our legal and tax obligations. This includes your full name, email address, term time address, student number, and the name of your club or society.

Why are we collecting your data?

We collect this data for the purposes of administering and maintaining the LeicsGO platform. These purposes may include, but are not limited to, approving or rejecting projects, processing donations, claiming Gift Aid, assisting Creators in delivering rewards, and analysing and reporting on giving statistics.

In the case of student Creators and Alumni of the University of Leicester, we also collect your data in order to update your University record and to maintain our relationship with you in accordance with the Philanthropy, Alumni & Community Engagement Privacy Policy, viewable here: https://www2.le.ac.uk/legal/privacy/pace

We also collect all data in order to ensure that the University is complying with its legal obligations, including, but not limited to, those related to the retention of financial records and to the claiming of Gift Aid as a registered charity.

How we will use this data?

Sponsors:
We use your data in order to process your donation and deliver any rewards owed to you. Creators will be able to access your name and the value of your gift at the time that you make your pledge. In addition, we will provide Creators with the minimum data necessary in order to deliver any rewards owed to you. Sponsor contact data is only shared with Creators at the point that a project successfully completes and your card is charged. Creators are strictly forbidden by the University of Leicester to use this data for any other purpose, including additional fundraising requests in the future. If you have chosen to make your donation anonymous, Creators will see your name and donation amount but you will be anonymous to the public.

In the case of alumni of the University of Leicester, we will use any information you provide to update your individual profile (including address, email address and other contact details) and record your gift on our alumni database. We may also use your data to report on alumni giving to the platform (for which data will be anonymised,) to keep you informed about ways to support us in the future, and for any other purposes outlined in our Philanthropy, Alumni & Community Engagement Privacy Policy here: https://www2.le.ac.uk/legal/privacy/pace

Creators:
We will use your data in order to administer and monitor the LeicsGO platform. This includes but is not limited to approving or declining your project, providing any assistance you require, ensuring compliance with the LeicsGO Terms & Conditions, and following up on completed projects for the purposes of monitoring, reporting and case-studies. Participation in the student crowdfunding project will also be recorded on our alumni database and will be used in accordance with the Philanthropy, Alumni & Community Engagement Privacy Policy, viewable here: https://www2.le.ac.uk/legal/privacy/pace.

What is the legal basis for processing the data?

We process this data on the legal basis of consent, which is given by you to us for the purposes outlined in this policy and the LeicsGO terms and condition. We may also process data on the basis of a legal obligation to do so, for example (but not limited to) in the instance of making a Gift Aid claim.

Creators & Alumni: By creating a project on the LeicsGO platform, you thereby give us consent to process your data as outlined in this policy

Sponsors: By donating to a project on LeicsGO, you thereby give us consent to process your data as outlined in this policy, including providing contact information to Creators if you have selected a “reward” as part of your donation.

If we are sharing your data with others who are we sharing it with?

If you are a sponsor and have chosen to add Gift Aid to your pledge, your details will be shared with HMRC. Creator data gathered through the LeicsGO platform will not be shared with any party outside of the University of Leicester. Alumni data will be processed in accordance with the Philanthropy, Alumni & Community Engagement Privacy Policy here: https://www2.le.ac.uk/legal/privacy/pace

How long we will process your data for?

Financial data obtained through donations will be retained for HMRC’s default standard retention period of six years plus the current financial year. In the case of alumni of the University of Leicester, the amount and date of your donation will be retained on your personal record in our alumni database in perpetuity as this data pertains to management of an ongoing relationship between you as an alumnus/alumna and the University as part of our alumni programme. Personal (non-financial) data of Creators and Sponsors will be retained on the LeicsGO platform for as long as you maintain an account on the platform. You can request to have your account and any associated data removed from the platform by contacting leicsgo@le.ac.uk or telephoning 0116 252 5843.

What are your rights and how to enforce them?

  • Right to withdraw consent
    You have the right to withdraw your consent to us processing your data at any time (except for purposes required of us by law) by contacting the Philanthropy, Alumni and Community Engagement team by email at leicsgo@le.ac.uk or by telephone on 0116 252 5483, or via our postal address above.
  • Right of access
    You have the right to access any data we hold about you. This is called a “Subject Access Request.” Please refer to our Subject Access Request procedure to find out how to do this.
  • Right of rectification
    You have the right to have inaccurate personal data corrected, or completed if it is incomplete. This request may be made verbally by telephone on 0116 252 5483, by email at leicsgo@le.ac.uk, or via our postal address above.
  • Right to erasure
    You have the right to have personal data erased. This is also known as the “right to be forgotten.” This request may be made verbally by telephone on 0116 252 5483, by email at leicsgo@le.ac.uk, or via our postal address above. Please note that the right to erasure does not apply when we are required to retain data in order to fulfil a legal obligation, in particular with regards to financial records.
  • Right to restrict processing
    You have the right to restrict the processing of your personal data. As per this policy, we will process Sponsor data obtained through the LeicsGO platform only for the outlined purposes directly relating to the maintenance, administration and reporting of the platform.
